- When do we need to have our deposit?
- The deposit is due within 2 weeks of signing an agreement.
- What if we don't get the total number of students we signed for?
- No problem. We will send you an addendum for the adjusted travelers. The cost of the trip will change with an increase or decrease of travelers.
- What does quad/triple/double/single mean?
- This is the price per person depending on how many are in a room. Quad is 4, Triple 3, etc.
- How many people do I need to have at a minimum?
- It is best to have a group of 20 to ensure group pricing. Depending on the destination we can do a minimum of 15.
- Do you have any fundraising tips?
- What are your main types of trips?
- We specialize in groups. We do educational and graduation trips for schools. We also work with companies offering incentive or theme trips.
- Where does your company travel?
- Our company travels all over the country. We also do cruises and international travel. Here is a map of our current US locations we frequent.
- What type of hotels do you typically use?
- We typically work with 2-3 star hotels that offer internal corridors. We are happy to work with special requests as well.
- Will my students need their passport?
- If students are traveling outside the country, it’s a good idea to have a passport. Children under the age of 16 can use their birth certificate.
- Do you work with adult groups?
- Yes, we work with all groups!
- Why should we go through you instead of booking ourselves?
- Working with an agent gives you group benefits you can’t get on your own and flexibility in deposits and payments. Booking on your own may require payment in full.
- Do you travel internationally?
- Yes, we can set up travel internationally.
- What is SYTA?
- SYTA is Student Youth Travel Association they guide the group travel industry in safety and policies to keep our groups safe. They also offer scholarships for students that can’t afford to travel.
- What does your company actually do for my group?
- We can be as involved as you’d like us to be. We take care of everything from airfare, motor coach, lodging, meals and securing tours and activities. For a fee, we can also take care of all payments.
- Do your agents join us?
- No, our agents don’t usually join unless it is requested.
- Do we need an approved vendor list?
- You need to check with your district to see if they have an approved vendor list. Some schools have vendors that need to be used. It will save a lot of time if you check into this prior to planning.
- Will there be night security?
- Night security is an optional service that we are happy to add to your package.
- What are our transportation options?
- This is up to you. We can secure Amtrak tickets, round-trip motor coach, airfare, schedule airport transfers or set you up to ride the Metro.
- Can we change our itinerary?
- Yes! During the planning stages, our goal is to make this the best trip possible for your group. If we suggest an activity that will not work with your group, we are happy to find another activity. After your group has signed an agreement there may be a fee associated with changes activities after they’ve been booked.
- Do chaperones travel for free?
- We offer one free chaperone per ten paying students. If you need more free chaperones that what is provided, we can make that happen.
- What is your drop out/ add in policy for students?
- Anytime a person is added or dropped it will affect the overall pricing for your group. The initial deposit is non-refundable and there may be vendor fees associated with dropping a traveler. Please keep up informed of any changes in your numbers so we can make sure there is space available for all travelers in your group. Please ask to see a copy of the terms and conditions for details.
- Do you offer travel insurance?
- Yes, we offer travel protection through Travel Insured. Your group can purchase it as part of your package or families can purchase on their own.
- What forms of payment are accepted?
- We accept payments directly from the school in the form of a mobile payment, school check, cashier’s check or money order.
Parent FAQ's
- What should my child pack for their trip?
- Please make sure your child is dressed for the weather. Include comfortable walking shoes. Leave valuables at home. Check with your group leader if anything additional is required for the trip.
- What is your behavior policy?
- School rules apply to the trip as well.
- Who will handle my child's medications?
- This should be worked out with the group leader as well as any food allergies.
- What is your technology/communication policy?
- We are in communication with the group leader while traveling. They have access to us at any time.
- What if my child gets sick?
- You should complete a Medical Treatment Authorization to give your permission on how to treat your child should they become ill on the trip.
- What are our payment options?
- Payments are from the school unless you’ve been set up on an individual payment plan. If this is the case, we accept credit card, cashier’s check or money orders. You can sign up for automatic payments or pay on your own. If not set up on an individual payment plan, then you need to pay the school directly.
